Role Overview:
We have an awesome KC client that is looking for a highly organized, detail-oriented Executive Assistant to support our leadership and sales team, with support extended to other team members as needed.
This role focuses on simplifying daily operations, protecting leadership time, and driving coordination and quality across a growing consulting services business.
The right person is proactive, not reactive. You bring structure, judgment, and follow-through. You create clarity and keep things moving – without waiting to be asked.
Key Responsibilities:
Executive Calendar and Scheduling
● Own and manage calendars for the leadership team
● Coordinate internal and external meetings
● Look ahead and identify proactive meeting prep
● Resolve conflicts and protect focused work time
● Manage travel coordination and logistics
Meeting & Task Management
● Prepare agendas for recurring leadership meetings, including the weekly L10 cadence
○ Weekly metrics reporting for leadership scoreboard
● Capture notes, decisions, and action items
● Track follow-ups and drive completion across the team
Email and Communication Support
● Triage inbox and prioritize key items for the leadership team
● Draft responses for coordination and logistics
● Flag items requiring leadership input or decisions versus FYI items
Sales Operations Support
● Maintain and update HubSpot CRM — contact records, deal stages, meeting notes, and activity logging
● Track follow-up activity and pipeline status for sales team members
● Surface overdue follow-ups, stalled deals, and open action items on a regular cadence
● Schedule prospect and client-facing meetings on behalf of the sales team
● Prepare outreach support materials, meeting prep documents, and post-meeting follow-up summaries
Partner Coordination
● Schedule external calls and send pre-read materials
● Track commitments and follow-up timelines
● Maintain accurate contact and engagement records
● Facilitate annual partner program activities (master calendar)
Operations and Administrative Support
● Assist with benefits and compliance documentation
● Team scheduling (upon request)
● Resource planning data entry, reporting generation, hours tracking
Document Production and Brand QA
● Format proposals, statements of work (SOWs), client deliverables, and reports
● Conduct quality assurance (QA) review on all outbound documents — confirming alignment with Asureti brand guidelines including formatting, tone, visual standards, and style
● Flag documents that do not meet brand standards before delivery
● Manage document versions and consolidate team feedback
● Coordinate document inputs from multiple team members and keep production on track
Required Skills
● Strong organizational and time management skills
● Clear written communication and high attention to detail
● Ability to manage multiple priorities with shifting timelines
● An eye for brand consistency, language tone, and document quality
● Comfort working remotely and independently without close supervision
● Familiarity with Microsoft 365 — Outlook, Teams, Office Docs, and SharePoint
● Familiarity with and willingness to learn AI tooling and technologies
● Working scheduled aligned with US time zones for real-time coordination and interaction with the team
Preferred Experience
● Executive assistant or operations role in a consulting, technology, or professional services environment
● Experience with HubSpot CRM or a comparable platform
● Background supporting a sales team with pipeline coordination or CRM hygiene
